How to lead group discussions effectively: How to create a constructive atmosphere

As a leader, you will certainly be faced with the task of moderating and leading a group discussion at some point. Such a method does not always make sense, but it unfolds its potential when insights cannot be gained from individual interviews. A group discussion is always used when there are conflicting opinions on a topic that need to be discussed in the group. It is also useful when team members want to find out what each other's views are on a particular topic.

How to lead a group discussion in a targeted manner

The term "team" suggests a homogeneous group working together towards a common goal. In practice, however, the team is made up of many individuals who have different backgrounds, have been shaped by individual life events and have their own attitudes and opinions. Especially when critical issues arise or opinions on an important question within a project diverge to such an extent that it is no longer possible to work together, a well-conducted group discussion can resolve the conflict. Below you will find an exemplary guide for goal-oriented group discussions. 

Preparation & preliminary considerations for the group discussion

In principle, every meeting is a kind of group discussion, with the difference that there are several topics on the agenda and the aim is not necessarily to have a discussion. Meetings can also be about updating all participants on the current status of the project or informing them about new developments. Every group discussion needs a discussion leader who defines the central question in advance and selects the participants in a targeted manner. Important for group discussions: There should only ever be one topic that is the focus of the discussion. 

Heterogeneous or homogeneous group? The composition of the participants

The composition of the group is elementary for the subsequent course of the discussion. A homogeneous group has many things in common in terms of nationality, age or origin. Whereas in a heterogeneous group, the participants are very different and therefore many divergent opinions and points of view are to be expected.

Group discussion process: How to effectively lead through the topic

  1. Basic stimulus
    After welcoming the participants, the basic stimulus is set. You introduce the topic by stating the reason for the meeting, summarizing current events or asking an open question.
  2. Free discussion
    After the first impulse has been set, the discussion should ideally begin. The participants talk openly with each other and adhere to the usual rules of communication. As the moderator of group discussions, you should make sure that everyone gets an equal share of speaking time.
  3. Moderation
    Depending on how the group discussion is going, your input as a moderator is required. If group discussions come to a standstill, you can provide new stimulating arguments to get them going again. If the discussion gets out of hand, your intervention is also required. You can also motivate introverted participants to get more involved in the discussion.
  4. Evaluation
    After everything has been said, here is the summary. Is there a consensus? Does a new meeting need to be scheduled? What insights were gained from the group discussion?

As a moderator of group discussions, you need to be confident and have a good knowledge of human nature. There are various points at which group discussions can get out of hand and then it is up to you to literally get them back on track.
